Client Service Standards

At Hereth Insurance Consulting, our mission is simplifying our clients’ lives with exceptional service and coverage that protects their personal, business, and operational interests. This page explains how our agency works, the standards we follow when recommending and placing coverage, and the circumstances under which we may decline to provide, or discontinue providing, our services. It applies to all lines of business we handle, including Personal Lines and Commercial Lines.

Section 1

Our Advisory Approach

We are an independent insurance agency. We believe a client’s experience with an agency is driven by four factors, in this order: Relationship, Service, Price, and Product. We compete on all four, but relationship and service come first.

We are insurance advisors, and our job is to recommend coverage that protect you when something goes wrong, not simply to locate the cheapest premium available on a given day. Because of this, we are selective about the clients we take on and the requests we accommodate. The standards below exist to protect our clients, our carrier partnerships, and our agency.

Section 2

Who We Serve

Our agency is built to serve:

  • Small Market / Middle Market / Large Market Business & Commercial accounts.
  • Preferred, multiline personal lines households with a proven, stable history and demonstrated pride of ownership and risk management.
  • Clients who value professional advice, respond to requests for information, and want a long-term relationship with a licensed advisor

● We are generally not a fit for:

  • Nonstandard or high-risk personal lines risks. These are outside our appetite and are referred to alternative agencies better suited to serve them.
  • Clients seeking the lowest possible premium regardless of coverage quality.
  • Clients seeking state minimum liability limits or otherwise substandard coverage.

We reserve the right to determine, in our sole discretion, whether a prospective or existing client fits our agency’s appetite and service model.

Section 3

Coverage Standards and Minimum Limits

We quote and recommend coverage at or above our agency’s minimum standards. In our professional experience, insurance purchased at state minimum limits or with stripped-down coverage frequently fails at the moment it is needed most and leaves families and businesses exposed to catastrophic out-of-pocket loss.

What this means in practice

  • We do not quote or place state minimum auto liability limits.
  • Requests for coverage below our minimum standards may be declined entirely, for new business or at renewal.
  • Where we agree, in our sole discretion, to accommodate reduced limits, deleted coverages, or higher deductibles, a signed Coverage Reduction Waiver and Acknowledgment is required before coverage is bound. If placement requires a surplus lines (non-admitted) market, a signed Surplus Lines Disclosure and Acknowledgment is also required.
  • Higher limits and broader coverage are always available upon request.
Section 4

Renewal Reviews and Remarketing Policy

We monitor every renewal that comes through our agency. Renewal downloads are reviewed, significant premium changes are investigated, and we proactively contact clients when increases or coverage reductions exceed our internal thresholds. When your renewal pricing and coverage remain competitive and stable, the policy renews as issued. That is a good outcome, and it is the outcome we work toward with every carrier placement we make.

  • Remarketing (shopping your coverage across multiple carriers) is a significant undertaking. A proper remarket involves gathering underwriting information, preparing new applications, obtaining quotes from multiple carriers, comparing coverage forms line by line, and presenting a professional recommendation. It is not a price lookup, and it is not something that can be done responsibly on demand at every renewal.

When we remarket

We remarket accounts when a qualifying event occurs, including:

  • A material premium increase that is not explained by claims, coverage changes, or exposure changes.
  • A carrier-initiated coverage reduction, restriction, or nonrenewal.
  • A material change in your household, property, vehicles, business operations, or exposures.
  • A coverage gap or improvement opportunity identified during our review of your account

Absent a qualifying event, our standard is to fully remarket an account no more than once every 24 to 36 months.

Why we limit remarketing frequency

  • Insurance carriers track quoting and shopping activity. Accounts that are shopped every renewal are viewed as unstable business, which can reduce carrier willingness to offer their best pricing and, in some cases, their willingness to quote at all.
  • Frequent carrier movement can cost you loyalty pricing, longevity discounts, accident forgiveness, and other tenure-based benefits that often outweigh short-term savings.
  • Stable placement with a quality carrier is, over time, one of the strongest drivers of favorable pricing.

Requests to remarket at every renewal, on a fixed recurring schedule, or when pricing has remained stable are outside our service model and may be declined. If shopping the market every renewal is a requirement for you, our agency is likely not the right fit, and a repeated insistence on this practice may result in our disengagement from the account as described in Section 7.

Section 5

Billing and Payment Responsibility

Premium payment is a contractual obligation between you and your insurance carrier. Our agency does not issue routine late-payment reminders. Policyholders are expected to track their own due dates and pay premiums on time.

  • Accounts that develop a pattern of late or missed payments may be required to convert to automatic payment (EFT) or paid-in-full billing in order to remain with our agency.
  • Repeated nonpayment cancellations may result in our declining to reinstate, rewrite, or continue servicing the account.
Section 6

Client Responsibilities

Our ability to advise and protect you depends on accurate information and timely cooperation. As a client of our agency, you agree to these items:

  • Provide complete and accurate information at application, at renewal, and whenever your circumstances change. Misrepresentation or material omission is grounds for immediate disengagement and may separately entitle your carrier to rescind or deny coverage.
  • Confirm all policy changes in writing. No coverage may be bound, changed, or cancelled by leaving a voicemail, sending a text, or submitting a website form. Changes take effect only when confirmed by a licensed agent of our agency.
  • Respond to underwriting requests, signature requests, and document requests in a timely manner.
  • Notify us promptly of material changes such as a new home business, short-term rental activity, new drivers, changes in vehicle use, or changes in business operations.
  • Treat our agency members professionally. Abusive, threatening, harassing or unprofessional conduct toward our staff will result in immediate disengagement.
Section 7

Right to Decline or Discontinue Service

Hereth Insurance Consulting reserves the right, in its sole discretion, to decline any prospective client, decline any specific request, or discontinue serving an existing client, for any reason not prohibited by law. Circumstances in which we may decline or discontinue service include, but are not limited to:

  • Requests for coverage below our agency minimum standards, including state minimum liability limits.
  • Requests to remarket coverage at a frequency inconsistent with Section 4 of this page.
  • Risks outside our stated appetite, including nonstandard or high-risk personal lines exposures.
  • Misrepresentation, material omission, or suspected fraud.
  • A pattern of late payments, nonpayment cancellations, or chargebacks.
  • Failure to respond to underwriting, signature, or documentation requests.
  • Requests that would require our agency to act contrary to law, carrier agreements, or professional ethics.
  • Abusive, threatening, harassing or unprofessional conduct towards agency personnel.
  • Any circumstance in which, in our professional judgment, we can no longer effectively or profitably service the relationship.

Nondiscrimination: We do not decline or discontinue service on the basis of race, color, religion, national origin, ancestry, sex, sexual orientation, gender identity, age, disability, marital status, familial status, military or veteran status, or any other characteristic protected by applicable law.

What disengagement means, If we discontinue serving your account:

  • We will provide you with written notice.
  • Your insurance policies do not automatically cancel. Your coverage remains in force with your carrier subject to the terms and conditions of the policy, including the carrier’s own cancellation and nonrenewal provisions and applicable state law.
  • You may appoint another licensed agent or agency at any time, including by executing a broker of record change with your carrier.
  • We will cooperate in a reasonable and professional transition of your account.
Section 8

Communications and Binding Authority

Insurance coverage cannot be bound or changed by submission of any online form or application provided through our website, email, voicemail, text, or facsimile. No binder, insurance policy, policy change, alteration, or deletion of coverage goes into effect unless and until confirmed directly by a licensed agent. Any proposal of insurance we present is based on the information you provide to us. All coverage is subject to the terms, conditions, and exclusions of the actual insurance policy issued. We do not offer legal, tax, or financial advice; please consult the appropriate professional if you need those services.

Section 9

Changes to These Standards

We may update this page at any time. The version posted on this website, together with its effective date, is the current version and governs from the date it is posted. Continued use of our agency’s services after an update constitutes acceptance of the updated standards.
